ADMINISTRATIVE ASSISTANT The Administrative Assistant provides a positive contribution to the mission of Bacone College by assisting and supporting the full time and adjunct faculty in an efficient effective manner while building and maintaining rapport with individuals and groups both inside and outside the College community. To effectively maintain the office in support of the departments Dean and all Faculty members, to establish and retain functional relationships with personnel and departments/offices within the College and the community at large, and to safeguard the confidentiality of all matters associated with faculty, students, and Bacone College. Essential Duties and Responsibilities: Utilize basic and advanced word-processing functions (Microsoft Word and Excel)– tables, graphs, sort, merge, etc. to format a variety of documents, publications, brochures, reports, and forms. Copy and distribute a variety of documents, publications, and handouts. Oversee and perform clerical responsibilities associated with ordering course textbooks and instructor exam copies; purchasing books, professional journals, and curriculum materials; and ordering/replenishing office supplies and materials. Request purchase order numbers and prepare invoices for payment. Arrange meetings, prepare meeting sites, and take minutes; develop and implement system of record keeping of meeting agendas, minutes, handouts, etc. Process mail, electronic and hard copy filing and retrieval. Assist in department book processing as needed. Perform reception duties including greet telephone callers and office visitors, screen and transfer calls, take messages, schedule appointments, maintain calendars, and handle visitor requests. Assist in preparing and updating mailing lists; complete mailings as specified. Other office duties assigned. Qualifications: Demonstrates skilled computer proficiency with word processing, spreadsheets, and data base programs. Possesses excellent typing and filing skills. Demonstrates effective organizational and time management skills. Utilizes good communication skills. Highly motivated individual with the ability to work with minimal supervision a must. Education and/or Experience: Associates Degree preferred or 2 years of higher education required. 5 years in an administrative assistant capacity, continuous employment.
